Student Employee Onboarding Resources

Congratulations on your new position with NC State University! Below is a list of tasks all student employees must complete in order to begin work.

Getting Started

First Time Employees
Section 1 of the I-9 form should be completed on or before the employee’s first day of work. An email will be sent to the employee’s NCSU email address with instructions and log in information to complete section 1. The employee is then responsible for meeting with an I-9 user to present the appropriate documents and complete section 2 of the form. Section 2 of the I-9 must be completed within 3 business days of the start date.

The documents must be ORIGINAL and UNEXPIRED – we cannot accept photocopies, scans or faxes. You will also need to know your Social Security Number in order to complete the I-9.

Returning Employees
If you have previously worked for the University, please contact International Employment at i9questions@ncsu.edu or the Onboarding Center at onboardingcenter@ncsu.edu to determine if a new I-9 is needed.

At NC State University, we utilize the Duo Mobile application that provides an additional layer of protection to our most vital campus resources.

Shibboleth may be unfamiliar, but it’s how you access services such as MyPack Portal, WolfWare and library resources all using the same password.

Go to the Duo Mobile enrollment page to complete this process. Two-factor enrollment is required to be completed within 30 days.


The “Paperwork”

All student employees are required to complete the Certification of Temporary Employment Terms form. Complete and return the form to your department’s HR representative.

All employees are required to enroll in Direct Deposit. Bank account information is entered electronically via the MyPack Portal.

To Enroll:
1. Log into MyPack Portal
2. Click on Employee Self Service > Payroll and Compensation > Direct Deposit
3. Click “Add Account” (if only one account is entered, delete the second row) and select Checking or Savings as the Account type (up to three accounts can be entered but one must be designated to receive the Balance)
4. Type in the Routing Number (9-digits) and Account Number and select Balance as the deposit type (if only entering one account)
5. Click Next > Submit > Ok

The W4 and NC4 tax forms should be filled out electronically via the MyPack Portal from Employee Self Service > Payroll and Compensation > NC4/W4 tax data.

Both the federal and state tax forms are defaulted to a marital status of Single and 0 allowances. If you would like to change this click on “Submit New Federal Tax Withholding Allowance Certificate (W-4)” and “Submit New State of North Carolina Tax Withholding Information”. If you would like to file as “Single” and “0” allowances no action is needed.

Foreign National Student Employees do not have access to update the Tax Data panel. Schedule an appointment with the International Compensation & Taxation office to ensure taxes are charged correctly based on your work authorization and country of origin treaty agreements. Appointments can be scheduled online via the ICT Calendar or by emailing ictquestions@ncsu.edu

To access the Information Security Acknowledgement (ISA) form, log in to the MyPack Portal and click on Personal Details > Information Security Acknowledgment Form. Read the form and click the “I agree” box at the bottom of the form.

The NC State Data Security Training is required for anyone accessing University systems. This self-guided training takes approximately 30 minutes and is accessed in REPORTER. Click Data Security Training to access the checklist.

The NC State Safety Orientation Checklist provides an overview of health, safety and security topics for NC State employees and volunteers. This checklist must be completed and reviewed with all new employees and volunteers with their manager, prior to beginning activities on campus. Click here to access the checklist.


Additional Resources

All student employees are required to track their hours using WolfTime.

You may clock in and out via the WolfTime tab in MyPack Portal (using a computer or smart device) or using a departmental wall clock. Please check with your department/supervisor to determine if any department specific trainings are required for your position.

International students can reference Office of International Services for additional information on topics such as obtaining a Social Security Number and guidelines surrounding employment with the university.
