Onboarding for New Permanent Employees

We are excited to have you as a new member of the NC State University Wolfpack! Let's get started with some important steps to make sure your first few months are a success!

What Should I Do First?

Schedule Your Onboarding Appointment for your FIRST DAY of work.

Format: Available in person or via Zoom.

Availability: Monday–Friday,
8:00 a.m. – 4:00 p.m. EST.

Duration: 45 to 60 minutes.

If you are not able to schedule your appointment using the online tool, please contact us at [email protected] or 919-513-1278. When emailing to schedule your appointment, please include:

  • Three preferred time slots for your first day.
  • Your preference for an in-person or Zoom meeting.

Note: If meeting via Zoom, you must still visit campus to present I-9 documentation and receive your ID card. If you are working remotely (out-of-state or in Western/Coastal NC), let us know so we can coordinate a Remote I-9.

Please note: We cannot meet prior to your official start date as the system will not recognize you as an active employee until then.

For Foreign Nationals

How to apply for a Social Security Number (SSN)

A Social Security number (SSN) is a number issued by the U.S. Federal government for tax purposes. All students and scholars who are currently employed are required to apply for an SSN.

The Office of International Services provides guidance on how to apply for an SSN.

After you receive your SSN Card, contact International Compensation & Taxation (ICT) via email at [email protected] to update your SSN in the HR system.

ICT will send you a secure link to upload their SSN Card for their review and use. DO NOT INCLUDE YOUR SSN IN ANY EMAIL.

ICT will notify the I-9 team who will amend Section 1 of your I-9. You will receive an email “Need Your Confirmation of Amended I-9 Form with NC State University” from perfectcompliace.com with the link to verify and approve the amendment. Use the instructions from the link to complete the approval process.

**You will not be able to enroll in your benefits until your SSN is uploaded by ICT**

Resources for U.S. Tax Information

In the United States, people are taxed in a number of different ways.  We pay sales tax on the things we buy and we are also taxed through our employment.

To assist international students and scholars with the employment taxation process, NC State has an International Compensation and Taxation unit to help you once you have campus employment.  There are a number of taxes you may not have to pay depending upon your immigration status, country, and the length of time you have lived in the United States.

Health Insurance Resources for International Employees

Check out the Health Insurance Basics compiled by Campus Health as in introduction to terms and a broad overview of health insurance in the United States.

Blue Cross Blue Shield offers medical coverage through GeoBlue for students (including OPT status), and faculty as individuals and for family members who intend to be outside of their home country for at least three months each year.

Bank Account Options for International Employees

NC State has partnered with PNC Bank to make the best overall student and employee banking program in the nation. We have an on-site branch and PNC ATMs all over campus.

Other local banks that will open a bank account without a SSN include Bank of America and Wells Fargo.
